How do I give existing users access to additional courses/assign new contracts to existing users?

1. If you haven't assigned the new course to a contract yet, create a new contract in the Contracts section of the Tenant Dashboard.

Fill out the fields for the new contract and select the associated course(s) at the bottom. Please note that both students and managers will take up a seat.

Contract Fields:

  • Name: The name you'd like to give the contract.
  • Program: The program that will use this contract.
  • Start date: The first date a program admin can add student or manager accounts to their program.
  • End date: The last date a program admin can add student or manager accounts to their program.
  • Admin access expiration date: The date that administrators lose access to Richardson Accelerate. 
  • First Student Activation Date: The first date a user may activate their account.
  • Last Student Activation Date: The last date a user may activate their account.
  • Final Access Date: If all students should lose access to Richardson Accelerate on the same date, regardless of when they activated their account, set this date. Otherwise, leave it blank. 
  • Type: Select unlimited if the program should have unlimited licenses; select limited if the program should have a finite number of licenses and then designate the number of seats. 
  • Courses: Check the box next to the name of each course users on this contract should have access to.

2. Click on the "Create" button to finish creating the contract. 

Now that the new course has been assigned to a contract, there are two methods a program admin can use to add new courses to an existing user’s account. The first is to use a bulk CSV upload to assign a contract and course(s) to users en masse (recommended if multiple users need course access), and the second is using the “Assign Contract” button in each student’s individual page (recommended for one-off users).

Method 1: Bulk CSV Upload 

  1. Go to the Program Admin dashboard. If you’re changing course access for managers, go to the Managers tab and click on the “Download Instructors CSV” link at the top of the page.

If you’re changing course access for students, go to the Students tab and click on the “Download Students CSV” link.

2. Open the CSV(s) that you downloaded and locate the users that need access to additional courses. 

3. If you’re working with students, go back to the Students tab in the Program Admin dashboard and click on the “New Students” button. Select “Upload Multiple” from the drop-down list. If you’re working with managers, follow the same instructions in the Managers tab.

4. The next page will include instructions for uploading a student CSV. Create a new CSV and follow the instructions shown, including all students who need access to the new course. Please make sure your CSV is formatted correctly. 

5. At the bottom of the page, select the contract these users should be part of and check the box next to each course these students should have. Please note that users can be added or assigned to the same contract they’re already on at this stage, and that a user can be assigned to more than one contract. 

6. Upload the CSV and click on the “Upload” button at the bottom of the screen. The users’ course access will update after the upload is complete.

Method 2 - Assign Contract

  1. In the Program Admin dashboard, find the user you’d like to update and click on their name to go to their details page.

2. On the next page, you’ll see which courses this user has access to. Click on the “Assign Contract” button in the top right-hand corner to update their course access.

3. Select the contract that includes the courses you'll be assigning this user to. Check the box(es) next to the names of the course(s) this user should be able to access, and then click on the "Assign" button. 

4. The change will take effect and appear in the user’s “Courses” listing immediately.
